Q&A Sessions & Difficult Questions

Business English for Meetings

How to respond professionally when you do not have an immediate answer

The presentation may be over, but one of the most challenging parts of an international meeting often comes next: the Q&A session.

You may be asked a question you cannot answer immediately. You may need to check the figures, speak to a colleague or avoid allowing the discussion to move too far away from the main topic.

The important skill is not knowing every answer. The important skill is knowing how to respond professionally.

1. Opening the Q&A Session

"We have about ten minutes left for any questions you might have."
"I'd be happy to open the floor to questions now. Please go ahead."
[Ich würde jetzt gerne die Fragerunde eröffnen. Bitte legen Sie los.]
"If anything is unclear, please feel free to ask."

2. Handling Difficult Questions

Choose a situation:

[Wählen Sie eine Situation:]

You do not know the answer

You do not need to pretend that you know. A professional answer acknowledges the question and promises a reliable follow-up.

"That's a very specific point, and I want to make sure I give you the correct information. Let me look into that after the meeting and get back to you."

You need to check the details

You may know the general answer but not the exact figure. Separate what you know from what you still need to verify.

"Off the top of my head, I believe the figure was around 4%, but let me double-check the data and confirm that after the meeting."

The question takes the meeting off-topic

Some questions are valuable but would take too much time. Acknowledge the question and suggest discussing it separately.

"That's an interesting point, but it might take us a little off-track right now. Let's discuss that separately after the meeting."

3. The Bridging Technique

Bridging means briefly acknowledging a difficult question and then moving the conversation towards the key message you want to communicate.

"I completely understand the concern regarding the delays. However, what is important to remember is..."
"That's a fair point. However..." [Das ist ein berechtigter Punkt. Allerdings ...]
"I understand your concern. What is important here is..." [Ich verstehe Ihre Bedenken. Wichtig ist hier ...]
"That's an important question. The key issue for us is..." [Das ist eine wichtige Frage. Der entscheidende Punkt für uns ist ...]
"I see what you mean. At the same time, we should remember that..." [Ich verstehe, was Sie meinen. Gleichzeitig sollten wir bedenken, dass ...]
